Rules for accounts, organisations, approvals and workplace records.
1. Agreement
These Terms govern use of OrgSpace by Pixels, including the mobile app, secure desktop workspace and related web services. By creating or using an account, you agree to these Terms and the Privacy Policy. If you use OrgSpace for an organisation, you must also follow that organisation’s policies and instructions.
2. Workplace accounts
OrgSpace accounts are personal to the authorised user. You must provide accurate information, keep your credentials secure and not share your login. Your organisation controls your membership, role, approval assignments and access to its workspace.
3. Organisation administrators
Administrators must have authority to create and administer the organisation workspace, invite users, assign roles and configure modules. Administrators are responsible for ensuring that the organisation has a lawful basis to enter, upload and use staff, financial, vehicle, leave and other workplace information.
4. Approvals and records
When you submit, approve, reject, schedule or sign a record in OrgSpace, you represent that you are authorised to take that action. Approved and payment-scheduled records may be locked or preserved to protect the organisation’s audit trail. OrgSpace is a workflow and recordkeeping tool and does not replace an organisation’s own financial, employment, legal or governance responsibilities.
5. Acceptable use
You may not misuse OrgSpace, attempt unauthorised access, falsify records, impersonate another user, upload malicious or unlawful material, interfere with security controls, scrape the service, or use it to violate another person’s rights. The Acceptable Use Policy forms part of these Terms.
6. Organisation data
Organisation records remain associated with the organisation workspace even if an individual user’s access ends. A personal account deletion request does not authorise deletion of legitimate organisation records, other users’ information or records that must be retained for legal, financial, employment, security, audit or governance purposes.
7. Subscriptions and payment
OrgSpace is offered primarily as a business-to-business service. Organisation subscriptions are arranged outside the mobile app. Payment processing may be provided by Paystack or another disclosed payment provider. The Subscription & Billing Terms form part of these Terms.
8. Service availability
We aim to provide a reliable service, but availability can be affected by internet connectivity, device limitations, third-party services, maintenance or events outside reasonable control. Users must review important approvals and records rather than relying only on push notifications.
9. Intellectual property
OrgSpace software, branding and service design remain protected by applicable intellectual-property law. Organisations and users retain responsibility for content and records they lawfully provide to the service.
10. Suspension and termination
Access may be suspended or removed where required by an organisation administrator, for security, for non-payment, for material breach of these Terms, or where continued access would be unlawful or unsafe. Historical organisation records may remain after access ends as described in the Privacy Policy.
11. Liability
To the maximum extent permitted by law, OrgSpace is provided as a workplace software service and does not guarantee that user-entered information or organisational decisions are correct. Nothing in these Terms excludes liability that cannot lawfully be excluded.
12. Governing law
These Terms are governed by the laws of the Republic of South Africa, subject to any mandatory rights that apply to you in another jurisdiction.
