What counts as a person

Anyone who signs in. Your administrators, your managers, your finance or data capture people and your staff all come out of the same number, and you choose how to split it. On the free plan that is 10 people in total, not 10 of each.

Somebody who leaves can be removed and their seat given to the next person. Their leave history, trips and requisitions stay in the organisation’s records either way.

What "every feature" means

There is no feature list where some items are greyed out. Requisitions, the Finance Portal, merged PDFs with your own letterhead, video evidence on vehicle issues, both web portals and the exports. All of it works on the Free plan, for ten people.

Roles are yours to allocate. Ten people on the Free plan can be ten administrators, or one administrator and nine staff, or any arrangement in between.

Getting started

Search for OrgSpace on the App Store or Google Play, create your organisation, and share the join code with your staff. Nothing needs to be arranged with us first and no card is asked for. It takes about five minutes.

There is no trial, because Free is not a trial. It does not expire, nothing is switched off in it, and you are never asked to pay. Ten people and three vehicles is enough to run a small team or to prove the software works properly before you put it in front of everybody, which is what you would want to do anyway.

1. Start on Free

   Every feature, ten people, three vehicles, five groups. For as long as you like.

2. Grow into it

   Your administrators are told when the organisation reaches four fifths of its places, so nobody is turned away without warning.

3. Somebody tries to join a full organisation

   They are told the organisation is full and to ask their administrator for a seat, and your administrators are told that person is waiting. Nobody is quietly turned away.

4. Move up when you need to

   Subscribe to Standard or Pro and the extra places are there immediately.

Changing plan

Moving up takes effect as soon as the payment goes through. If you move from Standard to Pro part-way through a month you pay only the difference, R1 000, and your renewal date does not move. The next normal payment is the full Pro price.

Moving down is never charged for, but the smaller plan has to actually hold your organisation. If you are on Pro with 52 people and move to Standard, which allows 30, we will tell you that 22 people need to stand down and let you choose which. That is scheduled for the end of the period you have already paid for, so nobody loses access early, and you can change your mind or edit the list right up until it happens.

People who stand down keep every record. They are not deleted, and restoring them is one tap once there is room.

If a payment does not go through

Payments fail for ordinary reasons: an expired card, or a hold from the bank.

1. Straight away

   Every administrator is notified, in the app and by email, with what to do about it. The organisation carries on working normally.

2. After 24 hours

   The organisation is paused. Staff and managers see one screen telling them there is a problem with the organisation account and to speak to their administrator. They are not told anything about your billing.

3. The administrator

   Signs in to the Organisation Portal, where everything is still readable and exportable, with two buttons at the top: pay now, or move to a smaller plan.

4. Once paid

   Everything returns immediately, and work captured on people's phones while it was paused sends itself. Nothing was lost and nothing was removed.

Your records are always yours. OrgSpace does not hold an organisation away from its own leave history, trips, requisitions or documents over money. A paused organisation can always be read and exported.

Cancelling, and refunds

Within 3 days of your first payment: cancel and you are refunded in full. The subscription ends immediately and the organisation returns to Free at once. Refunds go back by the method the payment was made, usually within 10 working days.

After 3 days: there is no refund, and there is no further charge either. Your plan runs to the end of the period you have already paid for, with every seat, and then the organisation moves to the Free plan. You can cancel at any time, with no notice period and no cancellation fee.

Whichever way, the organisation is never closed and nothing is deleted. It goes back to ten seats and three vehicles with all of its records intact. If you want the organisation and its data removed altogether, that is a separate request through account and data deletion.

Payments

Subscriptions are billed monthly in South African Rand and renew automatically until cancelled. Card details are entered on our payment provider's own page and are not stored by OrgSpace.

OrgSpace is not registered for VAT, so no VAT is charged and the prices shown are the full amount payable. Should that change, prices and invoices will be updated and existing subscribers told in advance.

Prices may change in future. Any change is announced beforehand and applies from your next renewal, never part-way through a period already paid for.
