Billing & subscriptions

Simple plans. Clear billing.

Free stays free. Standard and Pro are monthly organisation plans. If something changes with a payment, your records stay yours and we tell your administrators what needs attention.

Your plan

OrgSpace is priced per organisation, per month. Every feature is included on every plan; the difference is how much capacity the organisation has.

Free · R0Up to 10 people, 3 vehicles and 5 groups. It does not expire.
Standard · R999Up to 30 people, 15 vehicles and 10 groups.
Pro · R1 999No limit on people, vehicles or groups.

How payment works

Paid plans renew monthly until cancelled. Card details are entered on the payment provider's hosted page and are not stored by OrgSpace.

OrgSpace may use Paystack or another payment provider that is disclosed at checkout. The organisation administrator is responsible for keeping billing contact details current.

Moving to a bigger plan

A larger plan takes effect once payment is received. A Standard organisation moving to Pro part-way through a paid month is charged only the difference for that period. The renewal date stays where it is, and the next normal renewal is charged at the full Pro price.

Moving to a smaller plan

Moving down does not cost anything. The smaller plan does, however, need enough room for the organisation.

If an organisation is above the smaller plan's limits, its administrator chooses who will stand down and the change is scheduled for the end of the period already paid for. Nobody loses access early. The selection can be changed, or the move cancelled, before it takes effect.

Standing somebody down does not delete them or their history. Existing leave, trips, requisitions and other organisation records remain part of the organisation.

If a payment does not go through

Straight awayOrganisation administrators are notified. The organisation continues working normally.
After 24 hoursIf payment is still unresolved, the organisation is paused. Staff and managers see an organisation-account notice rather than private billing detail.
Administrator accessAn administrator can still use the Organisation Portal to review existing records, export information and resolve the subscription.
Once settledNormal access returns. OrgSpace does not delete organisation records because a payment was missed.

Your records are still your records.

A billing problem can pause new work, but OrgSpace does not use your leave history, fleet records, requisitions or documents as leverage. Existing organisation records remain available to an authorised administrator for review and export.

Cancelling after 3 days

Cancel at any time with no cancellation fee or notice period. No further renewal is taken. The paid plan stays active until the end of the period already paid for, then the organisation returns to Free.

No organisation record is deleted because a subscription ends.

Cancelling within 3 days

The three-day refund window applies to the organisation's first payment for a paid plan. If cancellation is requested inside that window, the first payment is refundable in full and the organisation returns to Free once the refund/cancellation process is completed.

Refund timing depends on the original payment method and provider and is ordinarily within 10 working days after approval.

Closing an organisation is different from cancelling a plan

Cancelling a subscription changes billing; it does not delete the organisation. If you want the organisation or personal account data removed, use the separate Account & Data Deletion process.

Nothing on this page limits any right that applies under the Consumer Protection Act 68 of 2008 or other applicable law.
